RFU Auto Shop App

Your work goes on the vehicle's permanent record.

Work orders, estimates and invoicing for independent shops. Finished jobs seal into a record nobody can edit afterwards — including you.

Running the shop

One system from the moment a car is dropped off to the moment it is paid for.

Work orders end to end

Take in the customer, vehicle and complaint. Add labor and parts. Generate an estimate, seal the job, invoice it and record payment.

Auto, body and heavy duty

Each job gets the checklist for its type — road test and fluids, panel alignment and paint match, or DEF, air brakes and DOT inspection.

Everyone in their own lane

Owner, front desk and technician each see what they need. Settings, payments and warranty decisions stay with the people who should be making them.

Time clock and shop floor

Who is on the clock right now, hours on the floor against labor hours sold, and which vehicles each tech touched today.

Parts on hand

Track quantities and reorder thresholds, and see what has dropped below the line before a job stalls waiting on it.

Customers approve, line by line

Send a link. They see the findings with photos, untick anything they do not want, and the shop sees exactly what was authorised before a wrench turns.

Customers check their own car

Give out your shop code. A customer looks up their repair by VIN or phone number and sees where it stands. No account, no app, no phone call to you.

The day, on one screen

Where every vehicle is, who is holding it up, and what it is worth — without opening a single job.

A board that matches the shop

Sixteen stages from intake to pickup, including the ones nobody admits to — waiting on a customer, waiting on parts, found something else. Jobs loop backwards as often as forwards and the board expects it.

What is stuck, first

Approvals outstanding, parts past their promised date, anything sitting two days untouched, money owed over sixty days. Ordered by what it costs you to ignore.

Inspections that sell work

A courtesy multi-point, a proper diagnosis, or a deep diagnostic — different jobs, different sheets. A truck is asked about its air system; a Camry never is. Findings and photos land on the customer's estimate.

Text them back

Threaded texting from your own shop number. Ready for pickup, waiting on parts, estimate sent. STOP is honoured automatically, because that is the law.

Booked before it arrives

Appointments with one-click check-in: the booking becomes a job, the VIN becomes a vehicle, the note becomes the complaint. Nothing typed twice.

Parts, ordered and chased

Purchase orders with partial receiving, because three of four lines arriving is normal. Receiving stocks your inventory and moves the job back into the queue.

Knowing what you made

Most shops find out at the end of the month. This tells you while the customer is still on the phone.

Profit before the work

Enter what a part cost you beside what you charge, and a wage for each technician, and the job shows what it makes as you build it. Where a cost is missing it says so rather than guessing.

Three labour rates, picked for you

A Camry and a Freightliner are not the same hour. Enter the VIN and the right rate lands on the job, from the vehicle's own weight rating.

A till that cannot be quietly edited

Every dollar in or out is a line with a name on it. Deposits, part payments and refunds all work. Mistakes are voided, never deleted.

Books your accountant will take

Sales tax to remit, a profit and loss, money collected by method, and who owes you aged into the usual buckets. No accounting software required — but if you use QuickBooks, invoices push straight across.

What the customer gets

Fewer phone calls to you, and a reason to come back.

Their own page

A private link — no password — showing their vehicles, everything you have done, what is still under warranty and what is coming up. They keep their own details right so your counter stops guessing.

Warranties you can find

Every part fitted with a warranty, searchable by VIN, customer, phone or part number — because that is how the question arrives at the counter.

They never see your margin

What you paid, what a vendor suggested charging, and who you buy from stay inside the shop. So does your cost when another shop looks up that VIN.

The work outlives the invoice

Every sealed repair is published to CarKnown, the vehicle's permanent record — which is the part no invoicing tool can give you.

Proof that follows the car

When that vehicle is sold, or turns up at another garage, the work you did is on its record with your shop's name on it. A folder of paper invoices cannot do that.

Bring your back catalogue

Import the invoices from whatever you used before and they are sealed onto each vehicle's record dated to the day the work happened — marked as history you reported rather than work we watched, because that difference is the whole point.

Your margin stays yours

What crosses is the vehicle, the work, the parts and the date. Your prices, your costs, your vendors and your customer's details never leave your shop — not to the registry, and not to the next garage reading it.

The customer decides

Publishing runs on your shop's terms, and any customer can say no — from their own page or at your counter. Their future work stops being published, and you can see exactly what is being held back and why.

The sealed record

The part you cannot get from a notebook or a generic invoicing tool.

  • You seal a finished job

The complaint, the diagnosis, every labor line and part, the vehicle, the technician who did the work and who sealed it are frozen together.

  • It stops being editable

A sealed work order cannot be changed or deleted in the app. Correcting something means sealing a new record, so the original stays as it was.

  • Its contents are fingerprinted

The record is hashed with SHA-256. Re-check it any time and the app recomputes the fingerprint, so any change to the contents shows up instead of passing quietly.

  • Repairs with parts get a warranty token

Tied to that sealed record, and marked redeemed or void when it is settled — so a warranty claim points at exactly what was done, not a memory of it.

Set up in a minute

No installation, no per-shop setup, nothing to configure before you can take in a job.

Shop name, a short shop code and an owner PIN. That is the whole setup.

It starts empty

No sample customers, no demo vehicles, nothing to clear out. Your shop begins with nothing in it but you.

Add your people

Each person gets their own PIN, so jobs, photos, checklist items and hours are recorded against a real name.

Being built now

An honest list, because a shop deserves to know what it is buying today rather than being sold a roadmap.

Not built yet: a parts catalogue we supply ourselves — today you connect your own PartsTech, WORLDPAC or Nexpart account, or type parts off the counter receipt. Several locations under one owner report together, but each is still signed into separately.

Card processing runs through whoever you already use. We can introduce you to a processor, and we are paid a share if you sign with them — you would be told that before you decided, not after.

If any of that decides it for you, wait for it. Everything described above this section works today.
